Unexpected emergencies may come up, causing you to need to cancel your Zoom meeting. Don’t just leave the other attendees in the dark—let them know you won’t be able to make it. Here’s how to cancel a Zoom meeting.
How to Cancel a Zoom Meeting
Open the Zoom application, and select the “Meetings” tab.
Your upcoming meetings will appear in the left-hand pane. Select the one you would like to cancel.
The selected meeting’s options will appear on the right. Here, select the “Delete” button.
A pop-up window will appear, telling you that you can recover the meeting within 7 days from the “Recently Deleted” page.
Go ahead and click the “Yes” button to confirm the deletion.
The Zoom meeting will now be canceled.
General Meeting Cancellation Etiquette
Now let’s talk about the proper etiquette of canceling meetings. No matter which level of the corporate ladder you stand, everyone’s time is equally valuable and important and should be treated as such. A simple “Sorry, I can’t make it. Let’s cancel.” at the very last moment is considered extremely inconsiderate—not to mention people will lose faith in your reliability.
Respond to Invitation Requests
All popular calendar systems provide at least these three methods of response: Accept, Decline, or Tentative. Responding to these invites is important, not only for you to be able to keep track of your own schedule, but so others can see who can/can’t attend and prepare the meeting appropriately.
Here’s when you should respond with each:
- Accept: Only respond with this if you’re 100 percent sure you will be able to attend the meeting. The only time you should ever cancel is if a real emergency arises. People will understand.
- Decline: Respond with this if you’re sure you won’t be able to attend the meeting. Be sure to leave a note as to why you won’t be able to attend. If it’s essential that you attend this meeting, send some available time slots to the organizer and ask them if it’s possible to reschedule.
- Tentative: If you’re pretty sure you can make it, you should still respond with Tentative. Let the organizer know the potential conflict and be sure to update them as soon as you are able to. Tentative responses always require a follow-up.
If an Emergency Arises, Let People Know
Any good manager will understand that sometimes, life happens. When it does, it’s always best to let people know as soon as you are able, especially if you’re one of the key attendees of the meeting. While it may still be an inconvenience to suddenly reschedule, that’s okay. Again, life happens sometimes.
It’s not always possible, but you should try to give at least a 24-hour notice to the organizer about your sudden cancellation. Be sure to send a brief explanation as to why you suddenly need to cancel so that they know it’s a warranted reason.
Update Your Calendar Status—Even Before You Get an Invite
If you know you’re going to be busy at a specific time on your calendar, go ahead and block that time off. Closing off 2 to 5 p.m. on Wednesday because you know you have to drive your grandma to the doctor will prevent the possibility of you having to explain to a meeting organizer why you won’t be able to accept their meeting invite in the first place. They’ll see on your calendar that you’re busy at those times.
If you’ve already accepted a meeting invitation but something came up, update your status on that request. As we said before, if you change your status from Accept to Tentative, let people know why.
In general, just be as respectful as possible.
If you have scheduled a meeting via the Zoom scheduler, a Meeting ID is generated. When you invite via your your calendar, the join instructions are automatically pasted to the calendar invitation.
Note: Any edits to a meeting that is currently in progress will not take effect. The meeting must be ended and restarted for the changes to take effect.
About Meeting ID :
- You can start your meeting at any time after you scheduled it.
- Non-recurring meeting ID will expire 30 days after the meeting is scheduled or started. You can also re-start the same meeting ID within the 30 days.
- Recurring meeting ID will expire 365 days after the meeting is started on the first occurrence. You can re-use the meeting ID for future occurrences.
- If you need to re-schedule a meeting, simply update your schedule on your calendar.
- It is not necessary to update the meeting on the Zoom scheduler
- If you need to add or delete attendees, you can do so from your calendar (To: or Add Guests on calendars)
- There is no need to update the meeting on the Zoom scheduler
- Click on My Meetings, Upcoming, Edit (the scheduled meeting)
- You can use it to update the scheduled time, however this is not necessary

If you have a basic (free) account, you can terminate your account.
Cancel a Pro (paid) subscription
- Sign in to the Zoom web portal.
- Click Account Management, then click Billing.
- Under the Current Plans tab, find the plan you want to cancel and click Cancel Subscription to stop your subscription’s automatic renewal.
- Confirm your request by selecting Cancel Subscription.
- Choose why you would no longer like to renew your subscription.
- Once complete, click Submit.
Your plan status will now be updated to Canceled. You will still have use of your paid plan for the remainder of your subscription term. - (Optional) If you would no longer like to have the plan canceled, you will be able to reactivate your plan by selecting Reactivate Plan on the Current Plans page.
Note: If it says Contact Sales instead of Cancel Subscription, you will need to contact our sales team or your Account Executive to have the plan canceled.
- Open your Zoom account.
Select the Meetings option.
Click Schedule a New Meeting.
This will open the scheduler window.
Select your meeting settings. Descriptions are listed on the next page.
Important notes and best practices:
- Recurring meeting: Set up your recurring options in Outlook before sending the invitation.
- Video best practice: Set both Host and Participant to Off.
Audio best practice: Set to Both (Telephone and Computer Audio).
Meeting Options best practice: Set Mute participants upon entry.

5. Click Save to finish.
Your screen populates with your chosen meeting settings.- Best practice: Create and save a meeting template with polls, customized waiting room, add attendees to waiting room, mute attendees on entry, automatically start recording, etc. Use this template when scheduling future meeting.
6. Click the Outlook Calendar button to add the meeting to your calendar.
7. Open the .ics file which is downloaded to your computer.
8. Add title, recurrences, and reminder.
9. Add others to your meeting and send the invitation from Outlook.
10. If you need to cancel a meeting: When cancelling a Zoom meeting in Outlook it is only cancelled there, you will want to delete the meeting from your Zoom account as well. Likewise, if a meeting is deleted from Zoom, you will want to cancel the meeting in Outlook.
Meeting Options
Topic: Enter a topic or name for your meeting.
Description: Enter your meeting description (optional).
Start: Select a date and time for your meeting. You can start your meeting at any time before the scheduled time.
Duration: Choose the approximate duration of the meeting. This is only for scheduling purposes. The meeting will not end after this length of time.
Time Zone: By default, Zoom will use your computer’s time zone. Click the drop-down menu to select a different time zone.
Recurring meeting: Choose if you would like a recurring meeting (the meeting ID will remain the same for each session). A section opens allowing you to set up the occurrences. Choose the Recurrence, Repetition and End date.
Registration: Requires attendees to register for meeting. Allows questions to be asked of registrants.
Meeting ID: Select either Generate Automatically or Personal Meeting ID
Require meeting password: You can select and input your meeting password here. Joining participants will be required to input this before joining your scheduled meeting.
Note: Passwords are case sensitive and can have 10 characters maximum.
Video
- Host: Choose if you would like the host video on or off when joining the meeting. Even if you choose off, the host will have the option to start their video.
Audio: Choose whether to allow users to call in via Telephone only, Computer Audio only, or Both. Set global dial-in countries if needed.
Enable join before host: Allow participants to join the meeting without you or before you join. The meeting will end after 40-minutes for Basic (free) users if 3 or more people join the meeting.
Mute participants on entry: If join before host is not enabled, this will mute participants as they join the meeting. Participants can unmute themselves after joining the meeting.
Note: To mute all participants while in a meeting, use the option under Manage Participants.
Enable waiting room: Holds your attendees in a virtual waiting room until you allow their entry to the meeting. The waiting room image allows for some basic customization. The waiting room and join before host cannot both be enabled.
Only authenticated users can join: Only those with a Zoom account can join.
Record the meeting automatically: Check this if you want the meeting to be automatically recorded. Select if you want it to be recorded locally (to your computer) or to the cloud (). Only recordings save to the cloud can be automatically transcribed.
Alternative hosts: Enter the email address of another Zoom user who is licensed on your account to allow them to start the meeting in your absence.
Overview
Spotlight video puts up to 9 participants as the primary active speakers for all participants, and participants will only see these speakers. This feature is often used to spotlight a keynote speaker.
This article covers spotlighting videos on the Zoom desktop client and Zoom mobile app, but you can also spotlight videos in Zoom Rooms.
Alternatively, you can pin up to 9 participants’ videos, which will make them the primary speaker on your device only. Other participants will still have Active Speaker.

- Click Remove Spotlight in the upper-left corner of the video area.
- This will return the meeting to Active Speaker.

Spotlight when I speak is a feature that will display your video on your own screen when you are in Active Speaker Video Layout and are talking. This can be useful if you are recording locally.
To enabled this setting:
- Login to the desktop client
- Click your profile picture then click Settings.
- Click the Video tab.
- Check Spotlight my video when I Speak.

Zoom has been a life preserver for many businesses in recent months. The video conferencing app has been adopted by people all over the world, including schools, businesses and regular folks just looking to connect with friends and family. However, the free version of Zoom is fairly limited, forcing many people to sign up for Zoom’s premium service. Like many subscription-.based services, the premium version of Zoom requires users to opt out manually. Failure to do so will cause your credit card to be charged in perpetuity. Thankfully, cancelling your Zoom account is easy but somewhat hidden.
Types of Zoom Subscriptions
There are two versions of the Zoom video conferencing app: one free, the other paid. The free or “Basic” version of Zoom limits group meetings to 40 minutes, although one-on-one meetings are unlimited. Furthermore, it caps the number of participants to 100 people. Additionally, there is no ability to record your meetings. The paid or “Pro” version of Zoom offers multiple tiers, but the main difference is that by opening your wallet, many of the restrictions imposed on free users are lifted. As we mentioned above, the premium versions of Zoom require a monthly fee. However, like many subscriptions, the subscription amount is charged automatically at the start of each new billing cycle.
How to Cancel Your Zoom Subscription
Cancelling your Zoom subscription is fairly easy; however, there are a number of steps involved.
1. To get started, launch Zoom on your PC.
2. When the Zoom window appears, click on your profile picture in the top-right corner. If you do not have a profile picture set up, then it will just be a colored square with your initials in it. This will produce a drop-down menu with a variety of options.
3. Click on the one labelled “Settings.” Alternatively, you can click on the cog icon directly beneath your profile picture. This will open the Zoom settings window.
4. From the options on the left side of the window, click on “Profile.”
5. Next, click on the button labelled “Change my subscription.”
This will launch your web browser and automatically navigate to the Zoom website. Here, you will be prompted to enter your Zoom username and password.
6. Upon logging in, you should be automatically brought to the Billing section of your Zoom profile. On this page you will see the Zoom plans you are currently subscribed to. Each plan will display information, such as the billing period, next invoice date, invoice amount and the status of the plan.
7. On the far right, there is a link labelled “Cancel Subscription.” Go ahead and click on that link. Doing so will launch a pop-up box that provides the ability to reconsider. If you’re sure you want to cancel your Zoom subscription, click on the button labelled “Cancel Subscription.”
How to Download Recorded Zoom Meetings
When you cancel your premium Zoom subscription, you will still be able to use the free version of the app. Unfortunately, by canceling your subscription, you’ll lose access to the premium features we mentioned earlier, including the ability to record your meetings.
With a premium subscription, recorded meetings are stored on Zoom’s servers and are available for you to download or share at any time. Upon cancelling your premium account, those recordings will be removed from the Zoom servers. If you want to download any recorded meetings, you’ll want to do so before you cancel your subscription.
To download your recorded meetings, follow the steps outlined above to access your profile’s settings. On the left side of the screen, locate the option labelled “Recordings” and click on it. On the following page you will see all of the recordings that you have made. Underneath the thumbnail preview of each recording you will see the option to download that recording. Simply click on it to download the recording to your computer.
How to Download Your Zoom Invoices
If you were using Zoom for business purposes, your Zoom subscription may be tax deductible. Fortunately, it’s very easy to download your past Zoom invoices in case you are audited and need to provide documentation.
To download your past invoices, follow the steps outlined above to log in to your account on the Zoom website.
On the left side of the screen, click on “Account Management -> Billing.” Next, at the top of the page, click on “Invoice History.” This will show a list of your invoices. To download all of your invoices as PDFs, simply click on the “Export All” button. Alternatively, if you only want to download specific invoices, click on the checkbox next to the invoice you want to download and click the “Export Selected” button.
How to Reactivate Your Zoom Subscription
If you need to reactivate a cancelled Zoom subscription, you can do so by following the steps outlined above to log in to your Zoom account. On the left side of the screen, click on “Account Management -> Billing..” At the top of the page, click on “Current Plans.” Here, you will see the details of your cancelled account. To reactivate it, simply click on “Reactivate Plan” and follow the instructions.

If you work remotely, then you probably know about Zoom, which is a cloud-based video conferencing software. It’s one of the leading video communication technologies that exist in the market at the moment.
Zoom is also one of the pioneers in noise cancellation technology. If you make conference calls, then you know how distracting and annoying background noises can be. Keyboard typing, barking dogs, and crying kids – all these noises can affect the productivity of your call.
Fortunately, with the help of technology, you can easily get rid of all unwanted sounds and enjoy professional conference calls. So, if you are interested to know how to cancel out background noise and how Zoom’s noise cancellation function works, then keep reading.
What is Zoom noise cancellation?
In August 2018, Zoom announced and added the long-awaited background noise cancellation feature. According to Zoom, this function automatically detects and blocks background noise, such as keyboard typing.
This function is switched on by default, so you don’t have to do anything in the settings. When you make calls using Zoom, noise cancellation automatically works in the background, and you don’t need to worry about turning it on.
Recently, Zoom added two additional advanced settings that allow you to suppress either persistent or intermittent background noises or both. The difference between persistent and intermittent types of noise is that the first is continuous noise, such as air conditioning or fan noise. In contrast, intermittent noise is irregular sounds like keyboard strokes and barking dogs.
These two settings are also enabled by default, which means that when you’re in a call, Zoom recognizes background noises, whether they’re persistent or intermittent, and removes them from your calls.
However, sometimes you don’t need to remove background noises. For example, if you’re teaching online guitar classes, then the enabled noise cancelling feature will do more harm to you than good – your students simply won’t hear you playing. In such cases, it’s better to turn off Zoom noise cancellation feature.
How to turn off Zoom noise cancellation?
To disable Zoom noise cancellation feature, you need to enable the preservation of the original sound. It’s not as difficult as it sounds. Preserving the original sound means that other call participants will hear the original audio from your microphone, without the audio-enhancing effect and noise cancelling feature of the app.
This option is great when you have a high-quality microphone, or you want the other call participants to hear clear audio like in the case with music classes. So if you’d like to turn off Zoom noise cancellation, you will need to enable the option of preserving original sound.
How do I reduce background noise in Zoom?
To do this, you only need to take a few steps.
1. Open Zoom’s desktop app on your Mac or Windows device
2. After opening the app, click on Settings icon.
3. From there, select the Audio section.
4. Then click on Advanced in the lower right corner.
5. Check the box to Show in-meeting option to “Enable Original Sound” from microphone.
6. Set to “Disable” both Suppress Persistent Background Noise and Suppress Intermittent Background Noise as shown in the picture below.
So you now disabled background noise cancellation in Zoom from the advanced audio settings. However, to turn on the option of preserving original sound, there’s one more step.
7. When you’re in a meeting, press on Turn on Original Sound.
By pressing the blue checkmark in the advanced settings, you only allow Zoom to display the “Turn on Original Sound” pop-up during your calls. To actually enable the preservation of the original sound, you’ll have to manually turn it on from the pop-up during your Zoom meetings. This is convenient as you can turn it on and off as needed.

Cancel future occurrence meetings in a series in Outlook
1. Shift to the Calendar view by clicking Calendar in the Navigation Pane.
2. Click to select an occurrence meeting in the calendar.
3. Double click it to display the Open Recurring Item dialog box. In this dialog box, please check the Open the series box, and then click OK button. See screenshot:
Tip: If you are using Outlook 2013, please check The entire series option in the Open Recurring Item dialog.
4. In the Meeting Series window, please click Recurrence in the Options group under Meeting Series tab.
5. In the Appointment Recurrence dialog box, under Range of Recurrence section, check the End by box, and then select a date prior to the future date that you want to cancel from the drop down list. Then click OK button.
6. When it returns to the Meeting Series window, you can type in message content to let the attendees know the changes of your recurring meeting. And then click Send Update button.
When the meeting attendees accept your new meeting update, all the recurring meetings after your specific date will be canceled from their calendars.
