Whether it’s for personal use at home for making family appointments or work-related purposes to plan events and conference calls, having access to a shared calendar keeps everyone in the loop to avoid scheduling conflicts.
Fortunately, for Android users, shared calendars on Google automatically synchronize with your device with little extra setup required. Once you enter your Google account information, you’ll be given the option to synchronize your personal and shared calendars.
For those on a non-Android phone, including those on an iPhone, iPad, or even Microsoft’s Windows Phone platform, you’ll need to complete a few additional steps before your shared calendars will start appearing in your native calendar app or on a third-party calendar program.
Here’s how to do it:
1. Enter Google account information
First, you’ll need to go into your phone’s setting menu and enter your Google account credentials so your phone can synchronize with Google’s cloud. You’ll have the option to synchronize emails, contacts, calendars, and notes.
On the iPhone, you’ll go into settings, then tap on Mail/Contacts/Calendars, and then hit Add Account.
On Windows Phone, you’ll go into settings, tap on emails and accounts, and then you can add your Google account on the following screen.
Once you’ve gone through the account setup process, make sure that the Calendar option is ticked for proper Google synchronization. If you’re only synchronizing your personal calendars that you’ve created, you should be finished at this step.
2. Choose which calendars to sync
For those who want to synchronize shared calendars, you’ll want to visit the following website from either your desktop or phone browser:
After logging into your Google account, you’ll be presented with all your personal and shared calendars. Be sure to check off which calendars you’ll want to synchronize across all your devices.
By default, shared calendars aren’t automatically selected for synchronizing, so you’ll have to do this for each shared calendar you’ll want to view on your iPhone, iPad, Windows, Windows Phone, or OS X calendar client. Conversely, if you have a calendar that you do not want synchronized, you can deselect it as well.
Click save, and you’re done. All you’ll need to do at this point is wait for the calendars to synchronize in the background on your devices.
3. View your shared calendar in your calendar app
On the iPhone, you’ll want to open the default calendar app. On iOS 8, click the Calendars button at the bottom of the screen. This should pull up a menu listing all your personal and shared calendars across all the different accounts you have setup on your phone.
You’ll be given options to view your shared calendar. Check the calendars you’ll want to view. For a detailed view, you’ll want to make sure all your calendars are selected for viewing inside the app. If you want to just see your shared calendar, make sure every other calendar is unchecked except the shared calendar.
On a Windows Phone, you’ll want to launch the default calendar app, go into settings, and be sure you have the calendars to see selected.
4. Repeat when a new calendar is shared
Unfortunately, shared calendars aren’t automatically marked for synchronizing across your devices. Whenever a new calendar is shared with you, you’ll have to repeat the aforementioned steps if you’re not on an Android device.

If you use Gmail you probably know about the ability to create and share calendars with others. They help keep groups organized and even let you subscribe to public events. When it comes to getting that information on your smartphone there are some trade offs if you are on a non-Android phone.
Android phones will sync your email, contacts, and all of your calendars by just singing into your Gmail account. If you have an iPhone however, you will miss out on contact syncing if you set up your account as a Gmail account.
There is another option. You can set up your Gmail account as an Exchange account and be able to sync your email, contacts, and calendar, but by default it will only sync your primary calendar.
To add additional calendars you need to open your Safari browser on your iPhone and go to
Sign in with your Google account and then select which phone you want to change your sync settings on.
Select which calendars you would like sync with your phone.
Open your calendar app and open calendars in the top left corner. You should now see multiple calendars listed under your account instead of just the primary one you had before.
If you don’t, hit the refresh button in the bottom left corner or just give it 5-10 minutes to pull in your new calendars. If the calendars still do not show up, go to your settings app and remove your Gmail account and then add it again.
Once you see your shared calendars, check the ones you want to view by default in the calendar app and you are all set.
If you have problems with the web page not forwarding properly from your mobile browser you can also go to from your computer’s browser to turn on and off calenders for your iPhone. This will bypass the device selection but may work for non-iOS devices connected to Gmail via Exchange.

This article explains how to sync Google Calendar with the iPhone Calendar app. These instructions apply to all currently supported iPhone models and should work for older ones as well.
How to Sync Your iPhone Calendar With Your Google Calendar
Apple’s iOS operating system supports connections to Google accounts. To sync your iPhone and Google calendars:
Select Passwords & Accounts.
Earlier versions of iOS called this Accounts & Passwords.
Select Add Account from the bottom of the list.
In the list of officially supported options, select Google.
Enter your Google Account email address and password. If you’ve set up two-factor authentication, you’ll need to log into your account to set up an app password and use that as your password when you set up the account in iOS.
Tap Next. You'll see sliders for Mail, Calendar, Contacts, and Notes. If you only want to sync the calendar, deselect everything except Calendar.
Tap Save and wait for your calendars to sync with your iPhone. Depending on the size of your calendars and the speed of your connection, this process can take several minutes.
Open the Calendar app.
At the bottom of the screen, tap Calendars to display a list of all calendars to which your iPhone has access. It'll include all of your private, shared, and public calendars linked to your Google Account.
Tap the circled red i beside the calendar name to change the default color associated with the calendar, then tap Done at the top of the screen.
Select or deselect the individual calendars you want to appear when you're accessing the iOS calendar app.
Limitations
Google Calendar supports several features that do not work on Apple's Calendar app including the room scheduling tool, the creation of new Google calendars, and the transmission of email notifications for events. To use the features, you must access your Google account.
Can You Sync Multiple Google and Apple Calendars?
Got more than one Google account? You can add as many Google accounts as you want to your iPhone. The calendars from each account will be visible in the iOS Calendar app.
Google Calendar and Apple Calendar Bidirectionality
When you sync your Google account with your iPhone, any information you add to it using Apple’s Calendar app will flow back to the Google Calendar. Even if you disconnect your Google account from your iPhone, the appointments you created will remain in your Google Calendar.
Neither Apple nor Google supports the merging of calendars, although merging calendars is possible using some workarounds. Because each calendar is separate and has different security requirements, you cannot see any non-Google calendars loaded on your iPhone from within your Google account.
Alternatives for Syncing Google Calendar to an iPhone
Google offers a version of its calendar app for iOS, and several other developers offer iPhone apps that integrate with Google Calendars. For example, the Microsoft Outlook app for iOS integrates with both Gmail and Google Calendar. Either of these are good choice for people who want to access their Google Calendar but prefer not to use the stock iOS Calendar app.
Tips for Syncing Calendars on Your iPhone
Only sync the calendars you know you'll need on your phone. Calendar items generally don't hog space (unless you've got a ton of attachments in your appointments); however, the more devices that sync to a calendar, the more likely it becomes that you'll run across some sort of syncing collision. Limiting your iPhone to just the necessities reduces the risk that other calendars will incur a sync error.
As you know, calendar apps are essential for staying organized, managing your time, and helping you be as productive as possible. They’re also helpful in remembering appointments and events. So here is how to add multiple Google calendars to your iPhone.
Fortunately, for iPhone users, you have two options; Apple’s built-in calendar app and Google Calendar.
While both calendars are easily accessible and more than capable of getting the job done, Google Calendar is often considered the better of the two. That’s because Google Calendar tends to be easier-to-use. It’s also more customizable, flexible, and integrates with apps like Gmail and Hangouts.

Creating a new Google Calendar.
You can only create a new Google Calendar from a browser. However, once it’s been created it can be accessed on your mobile device. It’s a little bit of an inconvenience. But it’s not a complex process.
Hop onto your computer and open-up your Google Calendar. If you’re new to Google, then this is done by logging into Gmail and locating Calendar under Google Apps.
After you’ve opened-up your Calendar, you can add a new Calendar by clicking Add other calendars > New calendar. This is on the left side of your screen and above “My calendars.”
Now you can go ahead and give the new calendar a name and description.
When you’re done, click Create calendar.
Congratulations! Your freshly made calendar has been created and is ready to use.
Sync multiple Google Calendars to your iPhone.
Even though you have multiple Google Calendars, you can now access them right from your iPhone. But, first, you have to sync Google Calendar with your iPhone.
The good news is that it only takes a couple of steps to sync your Google Calendars with your iPhone.
- On your iPhone, head over to Settings > scroll down to Calendar. Tap Passwords and accounts > Add Account.
- Tap Google and enter your Google account information.
- Tap Next in the upper right corner of the screen. You should see sliders for Mail, Calendar, Contacts, and Notes. If you just want to sync Calendar, then slide the other apps to off.
- Wait for the calendars to sync — this may take a couple of minutes depending on your internet speed and the size of your calendars.
- Open the Calendar app.
- At the bottom center, you’ll see a Calendars icon. Tap that to view all of the Google Calendars that have been synced.
What’s cool is that now if you add any information to your Apple Calendar, it will automatically flow back to your Google Calendar. If you have multiple Google accounts, you can add as many as you like to your iPhone. This is handy if you use one account for work and another for your personal life.
Managing multiple calendars.
While creating multiple calendars is a breeze, managing them isn’t always as straightforward — especially when you just need to quickly glance at a specific calendar while on the go.
Give your calendars unique names.
This may sound obvious. But when creating a new calendar, give it a unique name. This way you immediately know which calendar you want to view. For example, you could have a work calendar that notes what you and your teams’ schedules are. You could then create another calendar that features deadlines for a current project.
Color-code your calendars.
With Google Calendar you have the ability to pick whatever color you like to represent your calendar. Your work calendar could be blue, while social engagements are red.
To change the color of your calendar, tap the three dots next to the calendar you want to change. You can then select your preferred color for that calendar. You can also create a custom color if you want.
Customize notifications and views.
By default, you’ll receive an email reminder 30-minutes prior to an event. However, you may want a 10-minute reminder before a phone call or a day notice before a meeting so that you can prepare.
Tap the three dots and select Settings and sharing. Scroll down until you see notifications and change them accordingly.
You can also change the view of the calendar from the day, week, month, year, schedule, or four days by clicking the menu at the top right corner of the calendar.
It’s perfect when you need to quickly see how your day or week looks first thing in the morning. It’s also useful for long-term planning.
Set an out of office entry and specific working hours.
A newer feature within Google Calendar is the ability to set specific working hours and an out of office entry. However, this can only be accessed if you have G Suite.
When you set this up, it will send out an automatic decline if someone invites you to an event during these off-hours. This way you don’t have to constantly check to see your availability — or constantly respond to messages when you’re home.
Share your calendars with the right people.
If you’ve created a family on Google, then a family calendar will be automatically created so that everyone in your home is aware of each other’s schedules. At work, you could share your work schedule with co-workers so that they know when you are and aren’t available.
You can share specific calendars with specific people by going into settings and tapping Add People. Your contacts will automatically appear. But, if you don’t see them, just enter their email address.
Just remember to share the right calendar with the right people. I highly doubt your colleagues are interested in knowing your kid’s soccer schedule.
Switching between platforms and devices is very easy nowadays. Everything you need is sitting in the Cloud, allowing you to easily manage your data and move it from place to place.
Using the iPhone calendar on one device and Google Calendar on others is not convenient. Now you can sync all your schedules and appointments across all devices. These methods were complicated and not always successful in the earlier iOS versions, but with the improved support for different platforms in the more recent versions of iOS, everything is easier.
Linking Google Account to Your iPhone
Before you can import anything from Google Calendar or any other Google app, you will have to connect your iPhone device to your Google profile. The process is simple.
- Tap the gear icon to open the ‘Settings’ app on your iPhone.
- Find ‘Passwords & Accounts’ menu and tap it.
- See if you already have your Google account connected.
- If you don’t, choose ‘Add Account’.

- Enter your Gmail address and hit ‘Next’.

- Tap the ‘Settings’ icon again.
- Go to ‘Passwords and Accounts’.
- Find your Google account and choose it. (Note: It doesn’t have to be a gmail.com account. Any email that you have linked to your Google account is okay.)
- When you open your account, you will see a list of apps that you can sync with your device. Find Calendars and toggle it on.
- When you do it, you should be able to access all the data from the Google Calendar on your iPhone calendar app.
To check it, open the Calendar app and tap ‘Calendars’ at the bottom of the screen. This way, you can view all the calendars that are synced to your devices. Since there are some third-party calendar apps too, your calendar may also be synced with them.
In the Calendars menu, you will see your private, public, and shared calendars all linked with your Google account.
Can You Have More Synced Accounts?
If you have multiple Google accounts with separate calendars and schedules, you can connect them all with your iOS device. The steps are the same. For each one, you will have to add a new account in the ‘Passwords and Accounts’ menu and then tap the Google logo.
If you integrate all your calendars from Google, they will all appear on your iPhone. On top of that, all the new data or info that you input in your iPhone calendar will now automatically be added to your Google Calendar too.
Third-Party Apps and Alternatives
There are a bunch of apps that promise to safely move your data across different platforms. Since it is much more difficult to export your iPhone calendar to Google, these apps are mostly designed to solve that problem. If you want to use both Google Calendar and the iPhone calendar, it is best to go with the official syncing method described above.
Google doesn’t have its own application for iOS devices, so if you don’t want to sync the accounts, you will have to find an alternative.
Some apps that you can find online, such as Microsoft Outlook, could be a good replacement. This app can integrate the Google Account and Calendar and is available for iOS. It is a great option if you are not a fan of the default iOS calendar. At the same time, you get a replacement for the official calendar app that is compatible with iOS and Google.
A Note on Syncing
Although you may be tempted to do so, you shouldn’t sync all the accounts and calendars that you’ve made. If you sync too many accounts or devices together, there is a chance of collision, overlapping, or malfunctioning. If you limit your iPhone only to important data, it will also reduce a chance of errors.
At the same time, you generally don’t have to worry about space, since the calendar data uses a minimal amount of storage. A problem may appear if you have many attached files that are too large to handle, though.
